We collect personal data you provide when registering for the Conclave, applying for SAFA membership, submitting award nominations, or enquiring via our contact form. This includes:

• Dietary or accessibility requirements (for event logistics only)
• Payment details processed via our secure payment provider (we do not store card data)

• To administer SAFA membership applications and renewals

4. Legal Basis for Processing

We process your data under: (a) contractual necessity — to fulfil your registration or membership; (b) legitimate interests — to communicate with registered delegates and members; (c) consent — for newsletter subscriptions, which you may withdraw at any time.

We do not sell your personal data. We share data only with: event logistics partners (venue, catering) under strict confidentiality agreements; our CRM and email platform providers; and payment processors. Sponsors do not receive delegate contact details without your explicit consent at registration.

6. Data Retention

Registration and membership data is retained for up to 3 years after the relevant event or membership expiry, after which it is securely deleted. Analytics data is retained for 26 months.

7. Your Rights

Under applicable Indian data protection law, you have the right to access, correct, or request deletion of your personal data. To exercise these rights, email secretary@safassociation.com. We will respond within 30 days.
